Platform
Archiving enterprise HR and payroll data? Fuse can help.
Keep your data, not your legacy infrastructure. Fuse stores the person, benefits, employment, payroll, job and applicant records from a retired HCM or payroll system and keeps them accessible, compliant and secure in the cloud.
Keep your data, not your legacy infrastructure
When an HCM or payroll system is replaced, the new system rarely takes the full history with it. What is left behind still has to be kept, found and protected, and running the old application for that purpose alone means paying for a license and infrastructure that nobody uses day to day. Fuse Analytics moves the data and documents into a cloud platform built for three things.
Accessible
Keeping your data accessible means getting the right data to the right people to get the right insights. Self service lets HR, payroll and legal teams find a record themselves when they need critical data in critical time, without waiting on IT or on the one person who still remembers the old system.
Compliant
Your need for people data outlasts the typical lifespan of an HRIS. Fuse keeps your records legally accessible for compliance reports, subpoenas and audits, with retention rules attached to the data and documents themselves. See compliance for how the platform handles retention and the PII lifecycle.
Secure
A spreadsheet export saved in a shared folder does not meet the bar for people data. If people are your greatest asset, your people data should be handled as such: user roles, single sign-on, multi-factor authentication, global data privacy features and encryption, on a SOC certified platform hosted on AWS. Types of legacy data you can store
Fuse comes with pre-delivered data models for the record types a legacy HCM or payroll system holds:
- Person
- Benefits
- Employment
- Payroll
- Job
- Applicant
The platform is not limited to HR indicative and payroll history data. Pre-delivered global data models cover HR, Payroll, Time, Compensation, Absences, Recruitment, Training and Events, and Benefits, and an extensible document model accepts any unique data associated with employees, contractors, applicants and more:
- A NoSQL backend lets you extend the data structures for organization-specific data of every type: structured, semi-structured and unstructured, plus document and file management.
- An adjustable security model protects select datasets, documents and PII (personally identifiable information).
- Intuitive navigation and customizable layouts let you store and present new data models alongside the standard ones.
Archiving versus keeping the old license
Keeping a retired system alive feels safe because the data is where it always was, but it leaves some of the most sensitive data in the organization inside an application that gets less attention every year.
Fuse takes a different approach. Alongside data and document storage, it provides a fully web based application that emulates common HRIS platforms, so your organization can migrate data and documents quickly and distribute reporting to every level of user. Decommissioning the legacy system reduces license and maintenance costs while you retain real-time access to the data.
- Consolidate global HR and payroll systems such as SAP, Oracle PeopleSoft, ADP and Dayforce (formerly Ceridian), along with in-house, SaaS, cloud, MS Access and Excel sources.
- Distribute reporting directly to executives, business unit managers, region managers and line managers, keeping analyst headcount needs low.
Fuse works with the systems enterprises most often retire: UKG, ADP, Workday, SAP and Dayforce, among others. If the archive is one step in a larger system change, see HCM and payroll transformation.
The retention angle
Retention rules differ by record type and by jurisdiction, and they pull in both directions: some set a minimum period a record must be kept, others cap how long personal data may be held. An archive has to do both. Fuse identifies PII in data and documents, tags them with retention policy rules, and manages the lifecycle end to end, from import through to purging. Former employees, contractors and applicants can be invited to view their own records and exercise data subject rights through self service instead of a ticket to HR.
Every hire, transfer and termination adds records that outlive the person’s employment; the turnover calculator estimates how many employee records a system accumulates over the years you must keep them.
A data platform for the future of HR
The Fuse Analytics platform helps customers turn a data liability into an asset:
- Archiving. Decommission legacy system data more easily to reduce license and maintenance costs, yet retain real-time data access.
- Analytics. Baseline historical data to advance insights and launch predictive HR metrics. See analytics.
- Benchmarking. Leverage external data in addition to internal data to identify opportunities for improvement, such as salary and compensation variances and industry KPI benchmarks.
- Compliance. Secure the HR and payroll data and document lifecycle.
