Leaving Dayforce?
What happens to your Ceridian Dayforce history when you leave?
Breaking up does not have to be hard to do. Your Dayforce (formerly Ceridian) contract very often says nothing about historical data, extracts come from several places, and access can end 60–90 days after termination. Fuse Analytics archives what you must keep so you can switch the old system off.
Dayforce modules we archive
- HR and employment history
- Payroll
- Time and attendance
- Benefits
- Pay stubs and tax forms
- Employee documents
Before you leave Dayforce: five pitfalls
Ceridian Dayforce is now simply Dayforce, but the exit problem did not change with the name. Be aware of these common pitfalls and misconceptions before you give notice.
Vendor help with historical data is limited
Contracts very often have no stipulation that Ceridian must assist with historical data or with a conversion to a new system. Your options vary by product, but none has a clear exit path for acquiring your full history. Assume you are on your own going into the effort.
The data lives in several places
The history you need for employment, payroll, time and benefits is not one export. You have to piece together database reporting and re-assemble exported files, and without a SQL database copy those extracts alone are not sufficient for later labor audits and subpoenas. Pay stubs, tax forms and a few other assets are separate again and have to be connected to and decrypted.
Access restrictions can block the extract
Extracting data requires access to certain APIs, with encryption involved, and roles with full admin reporting capability; restrictions on pulling data or adding people to assist can stand in the way. Many customers wait until after converting to the new vendor to archive, which is often too late. Start archiving while you implement the replacement and make it part of the conversion: an all-in-one rollover strategy.
The window after termination is short
Contract extensions to hold data may be severely limited, and Ceridian may elect to terminate after 60–90 days with no extension, as per the contract.
Older data may already be gone
Based on customer policies, Ceridian may archive certain data beyond a certain age. Add restricted user access, custom reports to build and the time limit on vendor availability after termination, and customers often cannot terminate with their history fully intact. HR and Payroll then fall back on paper records and manual effort for audit inquiries and subpoenas about employment, time and payroll history, and cannot reprint pay stubs or tax forms for employees. That may leave you out of compliance with federal and state labor audit agencies.
What Fuse archives from Dayforce
Fuse Analytics is a cloud platform designed to manage your legacy data and reduce license costs and legacy infrastructure. For Dayforce, that means the records HR and Payroll are asked for once the system is gone:
- Employment history and HR records
- Payroll history
- Time data
- Benefits data
- Pay stubs and tax forms, decrypted so they can be reprinted
- Historical documents
The archive is assembled from database reporting, exported files and document stores, then loaded into one place with easy access in the cloud. See data archiving for how it is stored and served.
How the migration works
We help customers through this transition quickly and effectively with:
- Ceridian and Dayforce source system and technology expertise
- ETL tools dedicated to secure PII data migration
- Easy access in the cloud to all your historical data and documents
- A compliant, proven methodology to ensure data acquisition is clean and complete
The work runs in four steps:
- Extract. Pull the history from the database, exports, APIs and document stores while your admin roles still have full reporting access.
- Load. Move it into the Fuse archive with ETL tooling built for PII.
- Validate. Confirm the acquisition is clean and complete before anything is switched off.
- Retire. End the license and sunset the legacy infrastructure.
If you are mid-way through an HCM change, HCM transformation covers running the archive alongside the new implementation.
Already migrated?
As long as you still retain access to your legacy system, Fuse Analytics can help you sunset it and reduce costs.
Compliance and retention
The archive exists to answer for your history when someone asks: labor audits, subpoenas and employee requests about employment, time and payroll records, or a pay stub or tax form reprint. Fuse keeps those records accessible after Dayforce is switched off so you stay in compliance with federal and state labor audit agencies; retention and access controls are described under compliance.
