Questions customers ask before they archive
Straight answers from the conversations we have with HR, payroll, legal and IT teams who are retiring a legacy system. If yours is not here, ask a data specialist.
Do we need this?
We probably do not have that much data. Is an archive worth it?
In our experience most organizations hold ten to twenty times the data their current operations need, because HR and payroll retention runs long: labor and wage-and-hour law, equal-opportunity reporting, workplace-safety rules and many other regulations set periods from a few years to thirty or more.
The source system is much bigger than the records that matter. A typical enterprise HR system has thousands of database tables, only a few hundred of which hold data rather than configuration, and once unused tables and fields are dropped those usually reduce to thirty or forty flattened datasets. The archive is small; the obligation is not. See HR and payroll retention periods for the ranges.
Can we deal with archiving after the conversion to our new system is finished?
You can, but it usually costs twice. Extracting and mapping the legacy data for the conversion and then again for the archive are largely redundant efforts, and treating the archive as an afterthought is how old applications end up never leaving the landscape, dragging down the new system's return.

How often would anyone actually use an archive?
More than you would expect, and for longer. Once the old system is gone, the archive is the only point of reference, so business-user access typically rises over the first three to five years rather than fading. Organizations tend to consult it a hundred to two hundred times a year, and more when legal and compliance inquiries, audits and subpoenas are frequent or the workforce is large.
Who on our side should be involved?
HR and payroll own the records, legal and compliance own the obligations, IT owns the system being retired, and the data privacy officer owns personal-data policy. The projects that run smoothly have all four at the table, usually with a CHRO or CIO sponsoring. Book a demo and bring whoever holds the questions.

Which retention rules apply to HR and payroll records?
Labor and wage-and-hour law, equal-opportunity reporting, workplace-safety rules, family-leave law and, in regulated industries, agency requirements such as FDA and OSHA retention for training, performance and recruitment records. Periods range from a couple of years to decades, and they apply per record type, not per system.
Your compliance team sets the policy; the archive applies it dataset by dataset and deletes what has expired. Start with how long is too long for data retention and the compliance features.
GDPR does not affect us. Why should privacy law shape our archive?
Even without European employees, data subject rights, data sovereignty and personal-access controls are spreading. China, Brazil and other countries regulate their citizens' data wherever it is processed, and US states including California and New York have passed privacy laws modeled on GDPR, with more in draft.
A strategy built for one law at a time ends up reactive and fragmented. The archive is designed around the personal record, so data subject requests, residency and access controls are handled once. Data archiving and GDPR compliance covers the right to be forgotten in practice.
Can the archive support legal matters and discovery?

We are remediating a breach or privacy incident. Does an archive help?
Remediation needs a complete, governed picture of what personal data exists and where. Why not something else?
Why not a generic enterprise archiving tool or a data lake?
For people data it is a high-cost option. The governance a personal record needs gets lost in a generic store, most of the volume is semi-structured and unstructured (documents, pages, reports) rather than tidy tables, creating order in a data lake is a custom effort, and securing it across business functions and users is hard.

Why not just build something ourselves?
Home-grown archives, whether a SQL database or a set of CSV and Excel extracts, lose the access functionality and security of a system, fragment sensitive data across files, leave out documents and reports, do not scale, and hand the business deconstructed data it cannot use directly. Retention regimes such as those for OSHA and FDA records are complex to support by hand. Most of them are temporary solutions that become permanent.

What does an archive save us?
The legacy system's license and maintenance fees end, and so does the IT effort spent keeping it alive: tickets, patches and support. The people who supported it, in IT and in the business, can be reallocated. Personal data is shared with the parties that need it, and protected from everyone else, through security roles, which lowers privacy, compliance and audit risk. What that is worth depends on the system you are retiring, which is why we quote per case.
How long does a project take?
Small, single-instance projects typically run four to six weeks; larger, more complex implementations four to six months. Organizations that acquire frequently get a repeatable process they can run for each deal. The project tools and methodology page describes the six steps.
How is pricing determined?
By the systems you are retiring, how many employee records they hold and how many years of data you need to keep. There is no published price list because no two archives are alike; tell us about your data and a specialist replies with a quote.
Is the platform secure?
